please find attached Minutes of our last Regular Meeting, August 6, 2008.

MINUTES of REGULAR MEETING held at LIONS DEN
on WEDNESDAY, 6th August, 2008 at 19h00

LP Corinna welcomed members present and called for a minute of silence to remember loved ones who have moved on during the past month. She then declared the meeting open and welcomed the guests listed below

CORRESPONDENCE

Incoming

  • E-mails as per the list attached to the Agenda. (Thanks to Lion Karin)
  • Letter from VDG Liz Wilkie congratulating our Club on its 38th Birthday.
  • Letter from Lion Aarti Thakor from the UK, who intends visiting Namibia in September and is requesting the clubs assistance. LP Corinna and Hans Gert will reply.
  • Letter from PDG Holger proposing a new Trophy called PDG Holger Sircoulomb-Trophy for Constancy. Lion Hans Gert read the Motivation and Criteria in full. The crux of the matter is however that "Club leadership should be rewarded for showing constancy in doing the basic things right all the time, i.e. for the entire fiscal year." The award will be handed out each year at the Welcome Home Banquet.

Outgoing

  • L.P.Corinna sent a letter to web master Jens Pohl advising that we intend moving the club’s web page to Namibia, where it will be looked after by Lion Susuanne. The reply has been received and needs to be discussed.

REPORTS

Fundraising

  • Lion Ralf has left for the north without having assigned any body to look after the Portfolio, nor having called a meeting as he had undertaken to do. LP Corinna will contact him to find out as to what idea’s he has for the WINDHOEK SHOW and a Weinfest substitute.
  • Lion Peter and Corinna reported, having collected N00 at a Eurocup party at their home. They are donating this to the Projects Account.
  • Lion Hans Gert reported that MTC had volunteered, completing the signage on top of the Lions Kiosk at the Show Ground.

Treasurer

  • L Louis reported that the total amount in the bank, as 31/7/2008 was N$ 758,866.95.
  • He has not had a chance, to get internet banking going, for which he had obtained the clubs approval some months ago.
  • He advised that all the Fundraising and Service Projects, he is making out cheques for, are being numbered in accordance with the system he had taken over from Hans Gert. He had just not passed these numbers on to Lions Ralf and Willi. This will be done in the near future.
  • Louis reported the following Debtors being in arrears:
  • WINDHOEK CLUB N$ 1000
  • ROUND TABLE 152 N$ 1000
  • ROUND TABLE 34 N$ 950
  • WINDHOEK TOASTMASTERS N$ 350
  • KRIEGSGRAEBER FUERSORGE N$ 600
  • The Club currently owes
  • L.C. INTERNATIONAL US$ 370
  • And NAMIBIA SECURITY SERVISES N$ 420

Service Committee

  • Lion Willi intends calling a meeting in the near future.
  • He reported that N$ 5,000 had been handed to Eros Girls school by Lion Louis but the respective photos still need to be taken.
  • N$ 2,000 had been donated by Lions Peter and Corinna towards the Otjiruze Childrens Fund.
  • Lions Willi, Peter and Koos will meet in due course, to decide on what the Jungle Gym should look like.

Public Relations

  • Lion Susanne has agreed to take over the home page and change the character thereof more to her liking. She has already two possible sponsors so that the club will get it for free.

Membership

  • Lion Hans Gert welcomed the six prospective Lions present and handed an application for membership to each of them except Anina who he will mail it to.
  • Lion Peter reminded the Club of Holger Kroemer, who might be interested in joining. Hans Gert will follow up.

CLUBHOUSE MATTERS

  • The drawings in respect of the proposed changes to the Club house have been returned by Starke and Hans Gert needs to send them to Kerry McNamara with the necessary comments.
  • Lion Frank and Hans Gert met a delegation of MTC and have discussed the changing around of the advertising on the tower.
  • They also had a meeting with Joerg Rattay in respect of minor brick work required in the outside storage room.
  • Once that is done, heavy duty shelves will be fitted, the deep freezer chest and all other Lions, belongings will be moved from the Kiosk.
  • Then the toilet and sink, inside the kiosk, will be repaired, and thereafter the 3 boxes with "cheese cutter" hats belonging to the Round Tablers will be moved. The kiosk is then available for the RT.
  • Lion Frank will be inviting Lions Louis, Koos, Willi and Hans Gert for a Club House meeting in the near future.

CLUB SOCIALS

  • Lion Corinna reported on a pleasant party by Lion Kai and Barbara on Friday 2/10/2008 and thanked them for it, in their absents.
  • She then referred to the correspondence with Lion Dr.Dennis Wolter concerning the 25th Twinning anniversary with L.C.Stormarn, copies of which had been sent to all members. Lion Hans Gert handed her the quotations received from Kalahari Sands Hotel. Invitation cards will be prepared shortly.
  • This years Christmas Party will again take place at Roof of Africa, on 7/12/2008 and like the years before, Lions Club Windhoek will be invited as well.

NEW MATTERS / GENERAL

  • Lion Wilna reported, that the Lions aprons ordered, are to be ready by 18/08/2008.
  • Lion Hans Gert reported on the Cabinet Meeting, he attended on the 2/8/08 in Cape Town and on the Welcome Back Banquet he and LP Corinna had enjoyed in the Protea Hotel in Stellenbosch.
  • A Christmas cake sample was sliced and offered to all present for tasting. This will be followed up by full details as to prices and profits. He expressed the hope that our club, after many years of none participation, will this year adopt the sale of these cakes as a fundraising project.
